Position Overview:The HR & Administration Specialist is responsible for supporting daily human resources operations and general administration functions to ensure smooth office running, compliance with local regulations, and effective employee support. This role plays a key part in recruitment, employee lifecycle management, office administration, vendor coordination, and cross-departmental service.
Key Responsibilities
Human Resources Assist in full-cycle recruitment: job posting, resume screening, scheduling interviews, shortlisting, and onboarding arrangements. Handle employment documentation: offer letters, employment contracts, consent forms, check-in/check-out procedures in compliance with Singapore labor regulations. Manage employee records, personnel files, and HR information data maintenance. Support attendance, leave management (annual, sick, childcare, etc.), and coordinate with payroll for accurate submission. Assist in employee onboarding, orientation, welfare arrangement, and employee engagement activities. Support work pass application/renewal procedures under supervision. Handle general employee inquiries and maintain positive employee relations.
Administration Manage office supplies: procurement, stock keeping, distribution, and cost control. Coordinate office maintenance, cleaning, security, and workplace safety. Arrange meeting rooms, office equipment, business travel, transportation, and company events. Support administrative documents, filling, stationery management, and office facilities coordination. Liaise with vendors: cleaning, IT, courier, catering, and other service providers. Assist in company insurance, utilities, and general administrative claims. Ensure office compliance and smooth daily operation.
Finance
Responsible for Accounts Payable (AP) activities. Prepare and submit monthly withholding tax filing;
Verify accuracy of vendor invoices, staff claims. Processing of payment run for all modes of payments. Performing bank clearing, vendor reconciliations, etc.
Others Provide administrative support to departments and ad-hoc tasks assigned by management. Maintain confidentiality and comply with company policies and Singapore’s employment guidelines. Requirements Diploma/Degree in Human Resources, Business Administration, or related field. Minimum 1–2 years of working experience in HR & Admin in Singapore. Familiar with Singapore employment laws, basic work pass processes, and local HR practices. Proficient in MS Office (Word, Excel, PowerPoint). Meticulous, organized, responsible, and able to manage multiple priorities. Good communication and interpersonal skills with strong service mindset. Able to work independently and efficiently in a fast-paced environment.
