DESIGNATION : Executive
RESPONSIBILITIES
THE ROLE: Executive (Lecturer Management)
The Executive (Lecturer Management) is responsible for supporting the effective management of lecturers across assigned programmes by ensuring timely deployment, accurate administrative processes, and compliance with academic and operational standards. This role also ensures proper vetting of curriculum updates and contributes to maintaining a high-quality teaching pool. By ensuring efficient workflows and collaborating with internal stakeholders and university partners, the Executive contributes to the seamless operation of Kaplan's Academic Administration & Governance department.
Key Responsibilities:
Administrative Support
- Assist in the preparation, organisation, and maintenance of records and documents related to teaching staff recruitment, deployment, and payments.
- Ensure all documentation, including lecturer credentials, contracts, and approvals, is accurately filed and updated in compliance with institutional and regulatory requirements.
- Support the processing of payment claims by verifying teaching hours, grading fees, and other related entitlements for adjunct teaching staff.
- Provide administrative and operational support for ad-hoc activities such as trainings and events.
Recruitment and Deployment Coordination
- Coordinate interview scheduling and support the execution of recruitment activities, ensuring smooth and efficient processes.
- Maintain accurate and up-to-date records of teaching assignments, deployment schedules, and lecturer availability.
- Assist in creating and distributing deployment schedules for teaching staff in alignment with module requirements and lecturer expertise.
Payment Processing and Support
- Compile, verify, and submit payment-related documents and claims, as instructed, for approval, ensuring timely submission to the Finance Team.
- Respond to routine payment-related queries from teaching staff and escalate complex concerns to the Deputy Manager, Lecturer Management, as needed.
Compliance and Data Management
- Conduct initial verification of lecturer credentials and other required documentation for compliance with academic board and regulatory standards.
- Maintain accurate records in internal systems to support reporting and audits.
- Provide administrative support for the registration of teaching staff with SkillsFuture Singapore (SSG) or other relevant regulatory bodies.
Team and Process Support
- Collaborate with university partners, heads of school and team members across deployment and payment functions to ensure smooth day-to-day operations.
- Support process improvement initiatives by providing feedback on administrative workflows and identifying potential bottlenecks.
- Prepare routine reports and summaries as requested by the Assistant Director to track operational progress and compliance.
Curriculum Content Review and Compliance
- Review and vet curriculum content submitted by developers and reviewers to ensure compliance with required standards.
QUALIFICATIONS
Education
- Bachelor's degree in any discipline.
- Experience working in a tertiary education environment would be advantageous.

- Ability to maintain tight schedules and meet set goals.
- Ability to work well in a team, adapt to stressful conditions and new technologies.

- Working Hours: Monday to Friday, 9am to 6pm.
